Job Description

The role demands excellent communication skills, attention to detail, and the ability to multitask effectively in a remote work environment.

Responsibilities:

  1. Administrative Support:
    • Manage calendars and schedule meetings.
    • Organize and maintain electronic files and records.
    • Prepare and edit correspondence, reports, and presentations.
    • Handle data entry and maintain databases.
    • Assist in the preparation of regularly scheduled reports.
    • Conduct research and compile data as required.
  2. Customer Support:
    • Respond promptly to customer inquiries via email, chat, and phone.
    • Provide accurate, valid, and complete information to customers.
    • Resolve customer complaints and issues with professionalism and efficiency.
    • Maintain customer records by updating account information.
    • Assist with order processing, billing, and refunds.
    • Follow up with customers to ensure their issues are resolved.
  3. Communication and Coordination:
    • Act as a point of contact between executives and internal/external clients.
    • Coordinate with team members and other departments to ensure smooth operations.
    • Arrange travel plans, itineraries, and agendas.
  4. Special Projects:
    • Support special projects and initiatives as assigned.
    • Assist with event planning and coordination.

Qualifications:

  • Proven experience as a Virtual Assistant or relevant administrative support experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with customer support tools (e.g., Zendesk, Freshdesk) is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to work independently and prioritize tasks.
  • High level of attention to detail and accuracy.
  • Reliable internet connection and a dedicated home office space.

Education:

  • Minimum of 2 years experience in a virtual assistant or administrative role.
  • Experience in customer service or support roles is highly desirable.
